Purpose
This guide ensures every BGG employee configures their new computer and digital environment correctly, securely, and in full compliance with company IT standards. It applies to all new employees, contractors, and staff receiving replacement or upgraded devices.
AI Assistance for Setup
Most installation or troubleshooting guidance can be easily found using the free version of any major AI platform. For the most accurate and step-by-step results, we recommend consulting ChatGPT or Grok. These tools can help guide software installation, configuration, and quick problem-solving. However, always ensure that any changes or installations you perform comply with BGG's IT policies and security standards.

Email and Workspace Setup

Gmail Account Configuration
  1. Navigate to gmail.com and sign in with your @bggworld.com credentials
  1. If this is your first login, you may need to set up your password
  1. Enable 2-Factor Authentication (2FA):
  • Go to Google Account settings
  • Select Security > 2-Step Verification
  • Follow the setup wizard to add your phone number
  • Save backup codes in a secure location

Single Sign-On (SSO) Setup
Your BGG email account provides SSO access to most company applications
When accessing company tools, always use "Sign in with Google" option
Contact IT if SSO is not working for any application

Microsoft Account Integration
Some BGG tools require Microsoft account access
Use your @bggworld.com email to create/link Microsoft account
Ensure consistent password policies across all accounts
Microsoft Office License Request - All existing team members of BGG can request an Office license as needed. Contact it.support@bggworldcom for more details.
Browser and Application Setup
Chrome Browser Installation & Configuration
  1. Download and install Google Chrome from chrome.google.com
  1. Sign in with your @bggworld.com account to sync bookmarks and settings
  1. Set up homepage and bookmarks for essential BGG sites:

  • Microsoft Office Suite (if required for your role)
Browser Security Settings
  • Enable automatic updates
  • Configure pop-up blocker

  • Install company-approved extensions only
Network, VPN, and Security Setup
BGG VPN Configuration
  1. Contact IT support to receive VPN credentials and setup instructions
  1. Download the approved VPN client software
  1. Configure connection settings as provided by IT
  1. Test VPN connection before proceeding with other setup steps
  1. Always connect to VPN when working remotely or accessing company resources
Network Security Guidelines
  • Only connect to secure, password-protected Wi-Fi networks
  • Avoid public Wi-Fi for company work
  • Use mobile hotspot if secure Wi-Fi is unavailable
  • Report any suspicious network activity to IT immediately
Device Security Configuration
  • Enable full disk encryption (BitLocker for Windows, FileVault for Mac)
  • Set up automatic screen lock (maximum 15 minutes idle time)

  1. IT Setup Process
  • You will receive an email invitation from Right Networks to activate your account
  • Follow the link in that email to create your password and complete your login setup
  • IT will confirm when your QuickBooks Enterprise access has been connected to the correct company file and permissions
  1. Access Instructions
  1. Go to Right Networks at https://myaccount.rightnetworks.com
  1. Download and install the Right Networks Client (Windows or Mac)
  1. Launch the client and log in using your new credentials
  1. Once connected, open QuickBooks Enterprise from the hosted desktop
  1. Verify you can access your assigned company file (e.g., "BGGNA_Accounting")

Remote Access and Support Setup
For secure remote access, always use the BGG VPN and ensure your device has encryption enabled and two-factor authentication (2FA) active for all accounts. When connecting remotely, only use secure Wi-Fi networks.
  • Utilize Google Remote Desktop for all remote IT support and assistance needs.

Tencent Cloud Access Request
To request Tencent Cloud access linked to your @bggworld.com account, please follow the instructions below:
  • In your email, specify that you are requesting Tencent Cloud access and provide any relevant project details or access requirements.
Email Signature Standard

Step-by-Step Email Signature Setup
If you need to update your email signature to the unified BGG format or your logo has disappeared, follow these instructions:
  • 2. Choose Your Email PlatformSelect your email platform (Gmail, Outlook, etc.) from the available options.
  • 3. Enter Your Information
  • Fill in your name, title, phone, and company details
  • Leave the Banner URL field empty
  • 4. Set Colors and Social Links
  • First Font Color: #172645

  • 5. Apply Your SignatureClick "Copy" in the generator, then paste into your email settings.
  • For Outlook: File > Options > Mail > Signatures > New/Edit > Paste > Set as default > OK
  • For Gmail: Settings > See all settings > General > Signature section > Paste > Set as default > Save Changes
